Quality acceptance and discrepancy handling – NEONATAL
Batch-identified acceptance, fast documentation, fast case handling
PharmaRosa® NEONATAL is batch-identified propagation material. Fast and fair case handling requires that the key points can be checked and traced at the time of acceptance. This page is a practical acceptance protocol: what you should check, which photos are needed, and how to report any discrepancies.

In short – 6 conditions for fast case handling
- Batch identification: variety + tray number + quantity (10 pcs/tray).
- Quick condition check: uniform growth stage, roots running through the plug.
- Photo minimum: 3 images (tray, close-up of root/plug, label/ID).
- Time = quality: potting/planting preferably on the same day; avoid storage in the dark.
- In case of discrepancy: batch-identified e-mail + photos.
- “Send it out dry” approach: avoid closed, humid storage.

Acceptance checks – what should you look at?
1) Identification
- Variety name and batch code.
- Quantity: 10 pcs/tray; the tray cannot be split.
2) General condition (minimum quality)
- Uniform growth stage (depending on variety type typically around 8–10 cm).
- The plug is filled with a strong root system (the basis of viability and a fast start).
- No signs of major mechanical damage or extreme desiccation.
3) Post-acceptance schedule (critical)
- Ideal timing of planting/potting: on the day of acceptance.
- If you have to wait: cool–light–well-ventilated environment.
Photo minimum – 3 images to identify everything
- Tray photo from above (overall view, quantity, general condition).
- Close-up of the plug/root (root penetration, vitality).
- Label / variety ID (batch identification).
Tip: if several trays arrive, take 1 overview photo + 1 close-up per tray (sampling approach), and 1 label photo.
What counts as a quality discrepancy? (practical framework)
Typically considered as a discrepancy
- Significant mechanical damage (at tray/crop level).
- Signs of extreme, large-scale desiccation at acceptance.
- Identification issue (missing or contradictory label/ID).
Important distinction
- NEONATAL is living plant material: smaller individual differences may be natural.
- Quality notification is most effective when it is batch-identified and documented.
Reporting a discrepancy – fast, batch-identified method
Please send by e-mail
- Variety name

Prevention tips – so that you do not need to report a discrepancy
- Plant quickly: best is on the day of acceptance.
- Storage: only cool–light–well-ventilated; avoid storage in the dark.
- Humidity: do not keep trays in a closed, humid space (fungal risk).
- Technical start-up: substrate and irrigation should be prepared by the time of acceptance.
